What should an Airbnb guest message actually say?

The best message is not the longest. It gives the guest the right information at the moment they need it, in a voice that feels like the stay they booked.

Begin with a simple journey

3. Arrival day

Make entry feel effortless. Put the address, access steps and the best contact method where they cannot be missed. If directions are unusual, use a landmark as well as a street address.

4. During the stay

A brief check-in can solve small issues before they become poor reviews. Keep it warm and make the next action clear: who to contact and when.

5. Checkout and after the stay

Keep checkout instructions proportionate. Afterwards, thank the guest, request a review without pressure and give returning guests a genuine reason to remember the property.

What makes a message feel human?

Specificity. Mention the property, the setting and the things guests actually experience. Write as a good host would speak: calm, capable and welcoming. Personalisation is more than inserting a first name; it means anticipating the guest’s situation.

Build a system the whole team can use

Store approved messages, timing and editable fields together. Note which messages are automated and which require judgement. That saves management from rewriting instructions and gives every guest a consistent experience.
